PulseX: Privacy Policy
This explains what Pulse does with information. Last updated 22 October 2026.
Who we are
Pulse is run by Antara Innovations, 167-169 Great Portland Street, London, England, W1W 5PF. Questions or requests: hello@antara-innovations.com.
There are two kinds of information in Pulse, and our role is different for each. For your own account (your email and name) we decide how it is used, which makes us the "controller" under UK data protection law. For patient and clinic records, you (the clinic or practitioner) are the controller and we are your "processor": we handle those records only to do what you ask in the app.
What Pulse is
Pulse is a mobile app for clinicians who use Cliniko. It connects to your own Cliniko account with a key you create, so you can see your diary, patients, notes and invoices on your phone, make changes that you confirm, and get help from the app with admin and note writing.
Pulse is not a medical device and does not give clinical advice. Pulse is not affiliated with or endorsed by Cliniko.
What we collect
Your account: your email address, your name, and the time you accepted our terms.
Your Cliniko key: stored encrypted so Pulse can connect to your Cliniko account for you. We only store the key, its region and the name Cliniko gives it. You can disconnect at any time and the key is deleted.
Patient and clinic records: Pulse reads these live from your Cliniko account when you open a screen, and sends the changes you confirm back to Cliniko. Cliniko stays the place where records are kept. Pulse does not keep a copy of patient records.
Ask: the question you type is sent to an outside service provider that helps write the answer, together with the records needed to answer it. Patient names in those records are replaced with labels such as "Patient A". If you type a patient's name into the question, that name is sent as you typed it.
Writing help: when you ask for a summary or a draft, the information needed for that task is sent to an outside service provider. Patient names are replaced with labels such as "Patient A" for the day brief. Drafts are shown to you to check and change. Nothing Pulse writes is saved to Cliniko until you confirm, and notes are always saved as drafts.
Voice recording: if you use the session recorder, your phone microphone audio is sent to an outside service provider to be turned into text. We do not record or keep your audio. The text is held only while you review it, and is saved to Cliniko only if you choose to. You must tell the patient and have their agreement before you record.
An activity log: a record of what was done and when (for example, an appointment was cancelled). It does not contain names, notes or the content of records.
Home visits and drive times: only if a patient has an address in Cliniko and the visit is a home visit. Your phone reads the address from Cliniko and sends it, with your clinic address, to a maps service to work out the drive time. We do not keep the addresses. We save only the number of minutes against the appointment number, and delete it after 30 days. If the lookup is not available, Pulse uses your own travel allowance.
Where you see patients: for each appointment you mark as a home visit or at the clinic, we keep the appointment number and your answer. For patients you usually see at home or at the clinic we keep the patient number, never the name. We also keep your usual week (which days you are at the clinic or out on visits).
Your own diary: events you add in Pulse (a title, the times and a reminder) are stored in your account. Appointments you choose to hold in Pulse before putting them in Cliniko are stored with the patient name, type, time and any notes you type, until you put them in Cliniko or remove them. This is the one case where Pulse holds a patient name.
What Pulse learns about you: how you like your notes written, people you often write to, and people in your own life you mention (for example a child you collect from school). You can see, change or delete all of it in More, and "Forget everything" removes it.
Usage: we count how many times you use the writing features and how many extra sessions you have bought, so we can apply your monthly allowance. It does not contain what you typed or said.
Phone calendar: only if you turn it on, Pulse adds your upcoming Cliniko appointments to your phone calendar, showing the time and the patient's initials, never the name. Your phone may sync that calendar to your own Google or Apple account. You can remove them again from the app.
Subscription and extra sessions: the app store (Google Play or the Apple App Store) takes your payment and tells us whether your subscription is active and how many extra sessions you bought. We do not see your card details.
Face ID or your fingerprint: Pulse asks your phone to check that it is you when you open the app. Your phone does the check. Pulse never sees, receives or stores your face or fingerprint.
Your phone, if you turn on notifications: a notification token that your phone gives us, so we can send alerts to it. It is not your phone number. You can turn notifications off, and deleting your account removes it.
Security records: our providers keep standard technical logs (such as your network address and the time of a request) to keep the service secure.
What we do not collect: your precise location, your contacts or your photos. Pulse has no advertising and no tracking or analytics tools.
Why we use it
To provide Pulse to you, including signing you in, connecting to Cliniko, showing your records, making the changes you confirm and writing drafts for you. This is needed to do what you asked, so it is our contract with you.
To keep Pulse safe and to stop abuse, such as limiting how often sign-in codes can be requested. This is our legitimate interest.
The microphone is only used when you start a recording, and only after your phone has asked for your permission.
Who else handles it
We use trusted companies to run Pulse. They may only use information to provide their service to us.
A trusted hosting provider runs our database and sign-in. Your account information and encrypted key are stored in Ireland.
Cliniko holds your clinic records. Pulse reads from and writes to them through Cliniko's published interface using the key you created. Cliniko has its own privacy terms with you.
An outside service provider processes the text and audio you send, to produce answers, drafts and transcripts. This processing happens in the United States. It acts for us under its business terms, which include a data processing agreement. Under those terms, what we send is not used to train its systems, and it may be kept for a limited period set by that provider to detect misuse.
Google and Apple deliver notifications to your phone.
A maps service works out drive times for home visits from the addresses your phone sends it. We do not keep them.
Antara Innovations emails you your sign-in codes.
We do not sell information, and we do not use it for advertising.
Sending information outside the UK
Some of the companies above process information outside the UK, including in the United States. We only use companies that protect it to the standard the law requires. For transfers to the United States we rely on the UK addendum to the standard contractual clauses in our contracts with them, or on the UK-US data bridge where the company is certified under it. You can ask us for details using the contact below.
How long we keep it
We keep your account information and encrypted key until you disconnect or delete your account. When you delete your account, they are deleted straight away from our live systems, together with the activity log linked to you.
Patient records are not held by Pulse. Whatever you save to Cliniko stays in Cliniko under your own rules.
Our database provider keeps routine encrypted backups so the service can be restored after a failure. Deleted information stays in a backup only until that backup is replaced under the provider's normal schedule, and backups are not used for anything else.
Our providers keep their own technical logs for the periods in their policies.
Your rights
You can ask to see your account information, correct it, restrict or object to how we use it, and ask for a copy you can move elsewhere.
You can correct your name in the app, on the Account page, and delete your account and data yourself at any time with "Delete my account".
If you are a patient and want to see or change a clinic record, please ask your clinic, because they are responsible for it.
For anything else, write to hello@antara-innovations.com. If you are unhappy with our answer you can complain to the Information Commissioner's Office (ICO) in the UK.
Your sign-in is shared
Your sign-in email may also be used for other products from the same company. Deleting your Pulse account deletes your Pulse data. It does not automatically delete your sign-in or your data in other products.
Keeping it secure
Information is encrypted when it travels between your phone and our servers, and your Cliniko key is encrypted when stored. Each person can only reach their own connection. Sign-in uses a one-time code sent to your inbox, so there is no password to steal. No system is perfectly secure, and we cannot promise it will never be breached.
Your Cliniko key can do what your Cliniko login can do. Keep your phone locked, and delete the key in Cliniko if you lose your phone.
Children
Pulse is for clinicians aged 18 and over. We do not knowingly collect information from anyone younger.
Changes to this policy
If we change this policy in a way that matters, we will tell you in the app before it takes effect.
